What You Need to Know About Our Wedding Management Package

We get emails all the time asking for more details about our services.

“I’d like to hire you for Day of Coordination”

“I’d like help with setting up our wedding”

“I want to hire you as our Coordinator”

“I need a Wedding Planner for Month of Coordination”

There are a lot of terms that get tossed around and we know this can be very confusing.

Firstly, “Day of” Coordination doesn’t exist. And if someone tells you that you can hire them, give them a list of decor and a timeline (you created) and they’ll “run with it” you should RUN!

On a very basic level here’s what will go wrong:

  • They will not have all the info they need to do the job
  • They will not be ready if anything goes wrong because they had no info ahead of time (they can’t fix problems before they start)
  • They will have a million questions because no matter how organized you are there will be things you didn’t think of and they’ll have to find a way – if they can – to fill the blanks
  • They’ll have to find you (or family) and drag you back into the minutia of all of it (when you should be getting ready, having fun, and no longer thinking of all of that)
  • It’s likely their stills are set up only, not design or styling, so if you’re looking for that “Pinterest perfection” you wouldn’t find it

We’ve been in business for a long time (coming on ten years) and have adjusted our offers many times and have continued to refind them with a handful of goals in mind:

  • We don’t bring problems to you, only solutions
  • We should be able to execute your wedding day after 2 meetings together
  • We shouldn’t have to ask you any hard-hitting questions on your wedding day
  • Your family should not need to do any heavy lifting on the wedding day
  • Your enjoyment of the day is the base reason why we manage and organize like we do
  • You should be fully present and in bliss on your wedding day
  • Our job is to support you. We do what it takes to make sure all the logistics have been sorted well ahead of time so come the day you’re only there, only enjoying, not thinking backwards or worrying about any “what-ifs” – you’re trusting us and the process

You don’t know what you don’t know and that’s never clearer to you (or us) in our first itinerary/timeline meeting. We ask you more questions then you will have ever thought of when it comes to the management of your wedding day. There is just so much we need to know so we can fully support you. There’s a lot of cognitive offloading you’re going to do so that we can take that stress off of you and we’re here for it!

The Wedding Management Package includes all the things you’ll need to make your day run as smoothly and as stress-free as possible.  We handle it all; you and your guests just sit back and enjoy! I know, sounds dreamy right?

Here’s a quick picture of what’s included in our Wedding Management Package

 

Pre-Wedding Meeting​​​​​​​​​​​​​​​​​​​​​​​​​​​​​
• Meeting with you 3 months and again 6 months before your wedding
• Going over your wedding day schedule and details (what you’ve thought of so far, vendor selections and any other concerns you may have for your day
• Creating your master itinerary (think timeline on steroids) 
• Confirming all final details with your vendors for you 1 to 3 weeks before your wedding day
• Unlimited email address to use
• Client-only support and planning documents and workable files
• Customized Client Portal
• Access to our client only Resource Library
• Distribution your itinerary and confirming all your vendor delivery times and details
• Working with your MC to create their script and work out any timing details needed (includes a phone meeting with them to get prepared)
• Your family/friends doing who are speeches have the option to book phone meetings with us as well (to go on their speech, ask us any questions, get tips, and facilitate their surprises for you)  

Wedding Rehearsal & Ceremony​​​​​​​​​​
• Overseeing and helping with the coordination of your wedding rehearsal and ceremony
• Meeting with your pastor, wedding officiate, and/or site coordinator regarding the unique details and timeline for the ceremony
• Ensuring all décor is in place prior to the ceremony
• Preparing your wedding party and groom for their entrance to the ceremony
• Preparing you for your walk down the aisle
• Ensuring that all décor is removed after your wedding ceremony

 

Your Photo Shoot​​​​​​​​​​
• Ensuring that you and your wedding party are ready and relaxed for photographs
• Assisting the photographer with coordinating your wedding party and family members as needed for pictures

Wedding Reception Management
• Ensuring that all décor, table settings and accessories are in place before your guests arrive
• Preparing you and your wedding party for your grand entrance
• Managing your reception schedule – things like notifying you when dinner will be served and when it is time for your first dance and the cutting of your cake (the basic things to keep your event running smoothly)
• Being available to deal with anything that may come up along the way so that you can relax and enjoy your day!

Wedding Management is much more than what we’ve mentioned here (that would be a VERY long post). There are so many little things that go into your day and so many small elements we take care of so you never need to think about it, troubleshoot, or even consider any of those not so fun hosting things (a wedding is just a larger scale dinner party after all).
